How passive RFID works
A passive RFID tag has no internal power source. It sits dormant until a reader sends out a radio signal, and the tag uses that signal's energy to send back its ID. Because there is no battery, passive tags are small, cheap to produce, and effectively maintenance-free—but they can only be read when they are within range of a reader, typically a few meters at most.
This makes passive RFID the standard choice for:

- Document tracking — files tagged with passive RFID can be located by walking a handheld reader past a shelf.

How active RFID works
An active RFID tag carries its own battery and broadcasts a signal continuously (or on a set interval), rather than waiting to be prompted by a reader. It can be tracked over a much wider area—sometimes hundreds of meters—and its location can be known at any moment, not just when it crosses a checkpoint.
Active RFID is the right choice when:
- An asset needs continuous, real-time location tracking — vehicles, high-value equipment, or valuable stock.
- The tracked area is large — open yards, multi-building campuses, or sites where fixed checkpoints are not enough.
- Battery life is an acceptable tradeoff — active tags need periodic replacement or recharging.
